TITLE: Membership and Development Associate

FLSA: Full-Time, Non-Exempt position 

Supervised by: Development Director

Location: Minneapolis, MN

Hours: 40 hours/week/5 days per week; M-F ; 8:30 – 5pm

 

SUMMARY

The International Wolf Center strives to be one of the leading authorities on wolves in the world.  Since 1985, the Center has been highly successful in carrying out its mission to support the survival of wolf populations by teaching about wolves, their relationship to wildlands and the human role in their future.  The Center advocates only through education, with a focus on science-based information.

 

The Membership and Development Associate is responsible for supporting the membership and development department, by executing membership campaigns, working with the member/donor database, supporting member/donor events, budget reconciliation and preparation, analyzing and reporting on the results of mailings, coordinating membership renewals/donation appeal mailings, and assisting the Development Director as needed on fundraising efforts.

PRINCIPAL DUTIES AND RESPONSIBILITIES

 

Work With Database System (Raiser’s Edge) 50%:

  • Ensure and model the highest level of customer service through telephone calls, correspondence and timely follow-up to member and donor inquires.
  • Ensure timely, accurate data entry and overall data integrity of the database
  • Run queries, exports and reports
  • Implement quarterly National Change of Address (NCOA) update and import information into database
  • Process credit card transactions (daily and recurring), online donations (SPARK)and update online giving forms
  • Troubleshoot database issues through Raiser’s Edge customer service
  • Provide monthly RE reconciliation report to finance department

 

Coordinate Membership and Development Mailings 25%:

  • Maintain and execute a production schedule for all new member/renewal/donation mailings
  • Pull and proof mailing lists
  • Ensure that all mailings go out on time
  • Track quotes and printing costs from outside vendors
  • Coordinate and maintain inventory of fundraising supplies (paper, envelopes, incentives etc.)
  • Present final proof of letters to Development Director and Executive Director for approval before mailing
  • Utilize volunteers for bulk mailings

 

Report on Membership and Development Reporting 10%:

  • Export member and donor information from database
  • Prepare reports for the Membership Committee regarding progress and performance of mailings and fundraisers
  • Attend quarterly Membership Committee meetings
  • Attend special events and assist as necessary

 

Miscellaneous Duties 15%:

  • Take the lead in answering membership and development department phone calls.
  • Assist with reconciliation and preparation of Membership and Development budgets.
  • Support annual fundraising campaigns (Coordinated Federal Campaign, GiveMN Day, Brackets for Good, etc.) by assisting the Development Director with application processes, downloading donor information and sending acknowledgement to donors.
  • Support Membership Assistant with data entry daily.
  • Maintain inventory of membership mailing materials/postage for all mailings.
  • Maintain excellent rations with donors and members.
  • Other duties as assigned.

Requirements

QUALIFICATIONS

  • Previous database or data entry experience required (Raiser’s Edge experience a plus!)
  • Must be flexible, team player, self-starter, energetic, well organized and customer focused
  • Previous membership, development or administrative experience preferred
  • Excellent customer service skills including a good comfort level with handling phone calls
  • Strong computer skills including proven proficiency in Microsoft Word and Excel
  • Detail-oriented with strong organizational skills and the ability to multi-task projects
  • Interest in the environment/outdoors 
  • College degree a plus but not required

 

ABILITIES 

This position requires long periods of sitting and computer work and occasional travel (1-2x per year) to the International Wolf Center’s education facility in Ely, Minnesota for meetings, events and trainings, which may require overnight stays.  Some tasks may require the ability to lift heavy objects and work outdoors.
